As an entrepreneurial business, we are actively seeking to employ a motivated self-starter who is looking to develop their career in a dynamic and fast-paced company. This role is a permanent opportunity, but we would consider an 18 month fixed term contract. Hybrid opportunity, with scope to work from home on average, two days a week.
Reporting to the Transportation & Logistics Manager, the Export Coordinator will be responsible for ensuring maximum efficiency is derived from the proprietary order management system, supporting the company’s export desks by ensuring a constant flow of accurate information, processing documentation, booking containers, and communicating and delivering an efficient service to all external stakeholders.
This role has scope for development, with the opportunity to build relationships and visit service providers, and furthermore, develop a career in Export administration.
About the Role
- Daily management of internal mailboxes
- Management of Deep Sea Recovered Fibre supplier relations and service expectations, including tracking orders, sharing schedules, and promptly notifying suppliers of changes
- Management of agent/customer related queries and issues
- Maintenance of the proprietary order management system ensuring bookings are within customer and internal restrictions
- Escalating any unforeseen events that pose risk to the company pertaining to Recovered Fibre export
- Ensure the smooth running of the export desk ensuring the business is not exposed to additional unnecessary cost
- Identify and communicate low weights and quality claims to suppliers
- Handle account queries, request approvals from sales reps, notify accounts to raise invoices, investigate any rate/booking discrepancies
- Send deep sea bookings to shipping lines via various platforms
- Liaise with relevant parties with regards to damaged containers/overweight containers
- Maintain and issue the monthly rate matrix to the sales team to ensure the correct rates are being applied to avoid invoicing delays and discrepancies
- General oversight of the data processors
About You
- An adaptable interpersonal style, able to work collaboratively across the business demonstrating the ability to build and develop relationships
- Proven track record of working as a Coordinator, with the ability to plan and schedule in a fast-paced international company, where service delivery is at the top of the agenda
- Proficient IT skills, including Microsoft Office and ideally, order management or CRM systems
- Takes responsibility for actions, and plans activities well in advance, taking into account the possibility of changing circumstances
- Detailed and numerate, with experience in analysing and preparing data to use for informed commercial decision-making
- Enthusiastic team player and independent thinker who is interested in delivering outstanding product and customer service
